How does Workspace collect my personal information?

Workspace collects information to operate effectively and provide better services and the best experience to all our users – for example when you enquire about our properties with a view to becoming a customer, when you create an online account to enable you to book a meeting room at one of our centres, when you download our mobile application or when you apply for a job with us. Most of our Services require you to create a user account profile or provide certain personal information such as your name and email address. We collect information in the following ways:

1. Information you give us (which you can do in several ways): you can supply us with your personal information in various ways either online, by mobile application, by email, phone or text or in a letter or through social media or an agent you appoint to act for you.

a.    By filling in forms, for example when you complete and submit an enquiry form on our website.

b.    By submitting an application to a job advertised on our website or through a recruitment agent.

c.    By sending us emails and text messages (SMS, MMS, Messenger or Instagram).

d.    By adding posts, reviews and other comments to our website, or on the Club Workspace Members’ forum.

e.    By interacting with us on social media platforms such as Facebook, Twitter, Instagram, LinkedIn and through our use of push notifications.

f.    By talking to us face to face at our Centres (i.e. building locations) or over the telephone. For example, when enquiring about a rental or making a complaint.

g.    By registering accounts on our website or mobile applications including setting up passwords and user names, providing contact details, account details, your preferences and interests and any other information you may choose to input into our mobile application or allow our mobile application to access (for example if you choose to upload a profile photo or allow access to your contact list for visitor management purposes).

Important: If you submit details to us or any other person (e.g. an employee of your company) please make sure you have first obtained their permission.

2. Information we obtain from your use of our services. When you use our services, or interact with us either through our website, our mobile applications or by completing our surveys or when you write in to us, we may obtain your personal information.

a)    If you contact us, we may keep a record of that correspondence (e.g. if a customer, in relation to the provision of our Services or if an employee, a copy of your CV for the duration of the recruitment period for a specific role);

b)    We may also ask you to complete surveys that we use for research purposes or to improve our Services, although you do not have to respond to them;

c)    Information relating to your creditworthiness or any criminal or fraudulent activities provided to us by you or third parties, for example when you apply for a service or job with us;

d)    Details of transactions you carry out through our website, mobile applications or through other channels and for the provision of our Services; and

e)    Details of your visits to the website and mobile applications and information collected through cookies and other tracking technologies including, but not limited to, your IP address and domain name, your browser type and operating system, traffic data, location data, web logs and other communication data, and the resources that you access.
